Beginner 10 min Updated October 10, 2026

Norixia gives you an AI revenue team for each brand or website you run. Agents source leads, write personal cold emails, follow up, sort replies and report back to you in a chat that feels a lot like Slack. This guide walks you through everything you need to go from an empty account to a working team, with your first drafts waiting for review. Set aside ten minutes and keep two things close: an API key from an LLM provider and access to the mailbox you want your agents to send from.

You stay in control the whole way. Nothing leaves your mailbox until you say so.

Before you start

Here is what you will touch during setup, and why.

What Why you need it Where it lives
An LLM API key Your agents think with your own model provider (BYOK) Workspace, Integrations
A mailbox Agents send and receive email from it Workspace, Mailboxes
Your website URL Norixia reads it to prefill your knowledge base Project setup
About 10 minutes Most of it is reviewing what the AI prefilled You

Norixia is bring-your-own-keys. No credit card is needed to start, and LLM and data costs are paid directly to your providers.

1. Create your workspace

Go to app.norixia.com/register and create your account. Verify your email address when the confirmation message lands.

Your first stop is the workspace. Think of it as the home for everything shared across your projects:

  • your team members and their roles (Owner, Admin, Editor, Viewer)
  • your provider keys
  • your mailboxes
  • your suppression list
  • API keys and webhooks, if you ever need them

Projects sit inside the workspace. One project usually maps to one brand or one website, and each project gets its own knowledge base, agents, routines, discussions and approvals.

Tip: Turn on two-factor authentication or add a passkey (Touch ID, Face ID or a security key) right away. Your workspace will hold provider keys and a live mailbox, so it is worth protecting from day one.

2. Connect an LLM key

Agents need a language model to read, reason and write. Open Integrations and add a key from one of the supported AI providers:

  • Anthropic (Claude): the default choice. New agents use claude-sonnet-5-5 unless you pick another model.
  • OpenRouter: hundreds of models behind a single key, including Claude, GPT-4o mini and Llama 3.3 70B.
  • CheaperInference: low-cost open models such as Llama 3.3 70B, Qwen 2.5 72B and DeepSeek V3, with a configurable base URL.

Keys are encrypted at rest and never sent back to your browser once saved.

While you are in Integrations, you can also connect the data providers your agents use for research:

  • Apollo for the B2B contact database
  • Firecrawl for crawling web pages into clean text
  • Tavily for web search built for AI agents

These are optional for your very first run, but prospecting agents get much more useful once Apollo is connected.

Tip: You can choose a model per agent, per routine and even per routine step later on. Start with the default and adjust once you see how your team performs and what each run costs. Every run is logged with tokens and USD cost.

3. Connect a mailbox

Next, give your agents an address to write from. Norixia supports two kinds of mailboxes:

  • Gmail, connected through OAuth. Click connect, pick your Google account, grant access. No passwords to copy.
  • SMTP/IMAP, for any other provider. Enter your SMTP settings for sending and IMAP settings for reading replies.

Once connected, Norixia syncs the inbox every 5 minutes and classifies replies as Interested, Not now, Not interested, Unsubscribe or Out of office.

Every new mailbox comes with sensible guardrails switched on:

Guardrail Default
Emails per mailbox per day 50
Emails per agent per day 30
Spacing between sends Random, 90 to 300 seconds
Send window Mon to Fri, 09:00 to 18:00 (your timezone)
Warmup Starts at 10/day, then +5/day

Tip: If you are sending from a brand new domain, leave warmup on and be patient. Make sure SPF, DKIM and DMARC are set up with your DNS provider before your first send. A slow, steady start protects your domain’s reputation far better than a big first day.

4. Paste your website URL

Now create your first project. Give it a name, then paste your website URL and click Read my website.

Norixia crawls your site and gives priority to the pages that matter most for selling: pricing, offers and your about page. It takes about two minutes. Grab a coffee, or keep reading so you know what comes next.

What the crawler collects becomes the starting point for your project’s knowledge base, described in the app as “what every agent of this project knows about your business.”

5. Review the 7 setup steps

When the crawl finishes, you land on seven steps, each prefilled by the AI from your website:

  1. Company: who you are and what you do
  2. Offers: what you sell, with prices
  3. Targets: your ideal customer profile and the people you want to reach
  4. Selling arguments: why someone should buy from you
  5. Objections: what prospects push back on, and how to answer
  6. Tone & signature: how your emails should sound and how they are signed
  7. Review: a final look before you continue

This is the most important part of the whole setup. Your agents write every email from this material, so a few minutes of editing here pays off in every message they send.

Read each step and fix anything that is vague, outdated or simply wrong. If a section feels thin, use the Refine with the AI side chat. Ask it things like “make the targets more specific to mid-size SaaS companies” or “add the objection that we are too expensive compared to spreadsheets.”

Tip: Be concrete in Targets. “Heads of sales at B2B SaaS companies with 20 to 200 employees in France” gives your prospecting agent far more to work with than “businesses that need growth.”

You can come back to the knowledge base anytime. It holds nine sections in total, including Personas, FAQ and Competitors, which you can fill in as you learn more.

6. Hire the starter team

At the end of setup, Norixia offers a starter team you can hire in one click. You will be greeted with a small celebration and the message “Your team is ready!”

Each agent has a role, and each role comes with its own KPIs:

Role What it does What it tracks
Client prospecting Finds decision makers and books meetings Leads sourced, emails sent, open and reply rates, positive replies, meetings
Backlinks Finds sites and earns links to yours Sites identified, contacted, replies, backlinks won
Partnerships Finds partners, resellers and integrations Identified, contacted, in discussion, signed

One agent is the manager. It receives #team messages that do not mention anyone and dispatches the work to the right teammate.

Every agent has its own settings: a brief, an LLM provider and model, autonomy, a mailbox, a daily email limit (30 by default), follow-ups and an avatar. Agents use Nori, our mascot, as their avatar by default. You can pause any agent and wake it up later. Learn more about each role on the agents page.

7. Choose autonomy

Autonomy decides who presses send. There are two modes:

  • Validation: every email waits for your approval. You read it, edit it if needed, and approve it.
  • Autopilot: the agent sends on its own, within its quotas and sending hours.

For your first project, start in Validation. It lets you see exactly how your agents write, catch anything that needs adjusting in the knowledge base, and build trust before you let them run.

Whichever mode you pick, every send passes through the same checks first: the suppression list, whether the lead has unsubscribed or already replied, quotas and warmup, the send window and spacing, and cross-agent deduplication. Manual replies go through the same checks too.

Tip: Even later on Autopilot, you can mark a single routine step as “Always ask for approval.” It is a handy way to keep a human eye on, say, the first email to a new segment.

8. Say hello in #team

Open Discussions and go to the #team channel. As the app puts it: “Brief the whole team here. Mention an agent with @…, or just write: the right agent picks it up.”

Try a first mission:

Find 20 SaaS prospects in France and draft a first email for each.

Your manager agent picks it up and hands it to the right teammate. You will see tool calls appear inline as the agent works: searching for leads, enriching contacts, reading your knowledge base, drafting emails. Each run uses up to 8 tool-use turns.

You can also open a DM with any agent. They answer within seconds and can use their tools right there in the conversation.

Tip: Talk to your agents the way you would brief a new colleague. Say who you want, how many, and what a good result looks like. Short and specific beats long and vague.

9. Check Approvals

Head to Approvals. This is where drafts land while you are in Validation mode. Each draft shows the lead’s context next to the email so you can judge it quickly.

For each draft you can:

  • edit the text, then click Approve and send
  • reject it with a reason, so the agent learns what you expect
  • bulk approve several drafts at once

Use J and K to move through the queue from your keyboard.

Approved emails go out within your send window, spaced out naturally. Follow-ups are scheduled automatically (a bump, a value message and a breakup) and stop on their own as soon as the lead replies.

You are set up

In about ten minutes you have a workspace, a connected model and mailbox, a knowledge base built from your own website, a team of agents, and your first drafts reviewed. From here, a good next step is to automate the daily work with a routine, like the Daily prospecting template: every weekday, find 10 new qualified leads, send a personal first email, then follow up after 3 business days without a reply. See how it works on the routines page, or follow the step-by-step guide to build a daily prospecting routine. Before you switch an agent to Autopilot, read validation first, autopilot later and check the deliverability guardrails that run on every send.
